SUMMARY: The Facility Services Representative reports to the Human
Resources department providing daily organization of facility
related projects and activities by acting as the liaison between
property management, vendors, maintenance/engineering, security, as
well as employees and management. The Facilities Services
Representative is responsible for minor maintenance of Company
suites. They will ensure adherence to regulations on health and
safety in the workplace as well as ensuring that the facility
remains in full compliance with all OSHA and HIPAA provisions.The
ideal candidate will be local as this position is on-site at this
time.ESSENTIAL DUTIES & RESPONSIBILITIES (Other duties may be
assigned as necessary):
- Responsible for the day-to-day facilities-related activities by
coordinating repairs and third-party vendors to support all
suite-related needs and activities
- Responsible for facility safety operations to include building
access keys, badge access of employees and use of visitor and temp
badge logbooks
- Respond to any facilities issues quickly and follow up to
ensure the issue has been followed through to completion
- Ensure break room areas are clean and supplies are adequately
stocked
- Monitors preventive maintenance program for Company suites
- Assists HR in carrying out various employee Onboarding and Exit
procedures (desk set-up/moves, equipment, events, etc.)
- Acts as the company Safety Committee Team Leader in
coordination with building management
- Perform safety audits, inspections, and evaluations to identify
potential hazards and implement corrective actions in accordance
with regulatory requirements.
- Preparing for Fire Marshall audit
- Investigate incidents and accidents to identify what caused
them and how they might be prevented
- Annual assessments providing floor plans, identifying
secure/high risk areas, assessing vulnerabilities from a building
standpoint for unauthorized access, etc.
- Ensures first-aid kits are serviced and in working order
- May assist with Operational Audits, internal and external
(e.g., SOC, desk compliance, etc.)
- Monthly floor assessment/audits for Clean Desk/HIPAA
policies
- Complete required Site Plan Checklist as well as manage site
photos for all locations showing all entries, servers, printers,
security cameras and building schematics with floor plans
- May support with Mail Room on distribution of deliveries to
departments
- Support office space projectsQUALIFICATIONS: To perform this
job successfully, an individual must be able to perform each
essential duty satisfactorily. The requirements listed below are
representative of the knowledge, skill, and/or ability required.
They will also be able to exhibit general maintenance and handyman
skills and have an interest in the safety of the building and its
occupants. This individual will have access to all aspects of the
building and therefore must be trustworthy and able to pass a
background check. EDUCATION and/or EXPERIENCE REQUIRED: One (1) to
three (3) years' experience in facility, safety and/or health and
safety programs. Knowledge of HIPAA guidelines required. Knowledge
of OSHA rules and regulations, preferred.KNOWLEDGE, SKILLS,
ABILITIES REQUIRED:
