Legacy Pointe.Administrative Assistant Position SummaryThe
Facilities Administrative Assistant provides administrative,
financial, and operational support to the Facilities Department.
This role is responsible for coordinating office operations,
assisting with budgeting and expense tracking, communicating with
vendors and contractors, processing invoices and purchasing
documentation, and supporting department leadership with
organization and reporting.The assistant plays a key role in
monitoring departmental spending, ensuring accurate documentation
of work orders, contracts, and supply purchases, and helping
maintain efficient communication between Facilities staff, other
departments, and external service partners.While primarily
administrative in nature, this role may also assist with minor,
light maintenance support when needed, such as replacing lightbulbs
or helping with small department tasks that support daily
operations.This position requires strong attention to detail,
professionalism, financial awareness, and the ability to work
collaboratively in a fast-paced senior living
environment.Administrative Assistant Qualifications and
RequirementsHigh School Diploma or equivalent required.Previous
administrative experience required; experience in Facilities,
Construction, Property Management, or Healthcare preferred.Strong
comfort with financial tracking, purchasing processes, invoices,
and budgeting support.Proficiency in Microsoft Office (Excel, Word,
Outlook) and basic computer systems.Ability to learn and utilize
work order or maintenance tracking systems.Strong organizational
skills and attention to detail.Professional communication skills
with staff, residents, contractors, and vendors.Ability to manage
multiple priorities while supporting a department with daily
operational demands.Ability to work in an office-based environment
with occasional walking throughout the campus.Ability to lift or
carry light items up to 25 pounds (supplies, small equipment,
files).Ability to perform occasional minor physical tasks such as
bending or reaching when assisting with light maintenance
support.Experience supporting budgets or departmental expense
tracking.Familiarity with contractor coordination or facility
service scheduling.Interest in supporting building operations and
the behind-the-scenes work that keeps a community running
smoothly.Must be dependable, resourceful, and able to work
independently with minimal supervision.Important Notice: Applicants
